This Privacy Policy applies to personal information that we collect from you, or you provide to us, when you engage with HotelRunner or our websites, including at www.hotelrunner.com and www.ratefor.net (the “Websites”).

HotelRunner is headquartered in United Kingdom, but with group companies around the world. HotelRunner is the world’s leading sales and channel management platform for properties. Our products and services enable our customers to promote their property, manage guest bookings and gather data to better improve their offering.
- What personal information does HotelRunner collect and why?
The personal information that we may collect about you broadly falls into the following categories:
Information that you provide voluntarily:
The information we collect from you through our Websites, in connection with virtual and in person events and through correspondence with you, includes:

- How does HotelRunner keep my personal information secure?
We use various technical and organisational measures to protect the personal information that we collect and process about you. The measures we use are designed to provide a level of security appropriate to the risk of processing your personal information.
Specific measures we use include (amongst others):
● physical security and access to all HotelRunner premises
● all access to computer hardware is password protected, with encryption and default security firewalls in place;
● transfers of data between your device and our servers are encrypted using SSL and TLS encryption protocols;
● staff access controls to personal information;
● security standards consistent with Payment Card Industry Standard (PCI DSS) for which we are globally certified and undertake annual audits;
● staff data protection training.
As with any content that published on the Internet, any content, including personal information, that you contribute to be shared, published or transmitted to other users of our Websites, is visible to other users and can be read, collected, or used by them. We urge you to be careful about giving out information in public areas of our Websites. Our group companies and third party service providers and partners operate in United Kingdom and around the world, including the USA where our cloud data storage is based. This means that when we collect your personal information, we may process it in any of these countries.
However, we have taken appropriate safeguards to require that your personal information will remain protected in accordance with this Privacy Policy. These include implementing Standard Contractual Clauses for transfers of personal information between our group companies, as applicable.
Our Standard Contractual Clauses can be provided on request. We have implemented similar appropriate safeguards with our third party service providers and partners and further details can be provided upon request.

We retain personal information we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested or to comply with applicable legal, tax or accounting requirements).
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

● If you wish to request deletion of your personal information, such as email, username, phone number, or any other account-related information, please note the following process:
- For customers (property owners): Customers can request the deletion of their personal data by reaching out directly to our administration team. Only HotelRunner administrators have the ability to delete accounts or data for customers. This ensures that sensitive administrative roles are managed securely.
- For customers’ (property owner’s) users: Users can request the deletion of their data by contacting the customer who holds the “property owner” role within the sales and channel manager platform. The customer is entitled to delete user accounts and their associated data upon request.
The request should include:
- Your full name and contact details;
- A clear statement specifying which data you wish to have deleted.
Upon receipt of your request, we will take reasonable steps to verify your identity to ensure the legitimacy of the request. We may ask for additional information or documentation necessary to complete this process. Once a request is submitted, HotelRunner will take the necessary actions in a timely manner to ensure that the requested data is deleted in compliance with applicable laws and regulations.

● In addition, you can object to processing of your personal information, ask us to restrict processing of your personal information or request portability of your personal information. ● You have the right to opt-out of marketing communications we send you at any time. You can exercise this right by clicking on the “unsubscribe” or “opt-out” link in the marketing e-mails we send you. To opt-out of other forms of marketing (such as postal marketing or telemarketing), then please contact us using the contact details provided under the “How to contact us?” heading below.
● Similarly, if we have collected and process your personal information with your consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.
